Event Directors: Did You Send In Your Report?

Topic created by rgbortz on Sun Apr 3, 2016 at 9:46 amAll event directors are required to send an e-punch kit status report to Ron asap following their event.Both kits were at 100% at the beginning of this season. So far the Blue kit has been used at two events this year.Missing is the sign out card for the flash drive(which I spend time making a custom chart for)The original flash drive.Someone put a new flash drive in the laptop bag, which is okay but it is not okay to take the signout card so the original flash drive cannot be tracked down.The power strip.One stake.None of this has been reported missing.The list will grow, as is to be expected. But what is not expected is the failure to send the report so the next ED is not short changed.There are check lists with each kit, no excuses not to do the counts. No excuses not to send your report!Whoever can put it on the Event Director's page the last item should be SEND E-PUNCH KIT STATUS REPORT TO E-punch Equipment Manager. I know it's silly to think it will make a difference when my emails just prior to events requesting the report doesn't help in many instances.This is important stuff, be vigilant, be disciplined, be concerned for your buddies in the club. Do the counts and reports.I got your back, can you watch out for my front? I need your help to stay on top of these issues.Many thanks to those of you who regularly do your due diligence.And to everybody else thanks for putting on the events, they don't happen at all without your generosity of volunteering your time.Once in a while we need to vent and hopefully it ends up being helpful.See You In The WoodsRon

The ED seldom has the chance to check the computer box before it is packed and passed along. So I just tell the ED if anything is missing from the bin? I could swear I didn't see any checklist in the computer kit. I also miss the list on top of the "lunch boxes" saying what goes in, like 2 Start, 2 clear, etc. the epunch kit is getting more and more organized, and I appreciate the work you put in. Kathyu

Reply by rgbortz on Thu Apr 7, 2016 at 8:46 amKits are still in evolution. Watch for the inventory list attached to the outside of the kit boxes. There was one on the Red kit until I removed it to replace it with the latest version. The original is inside the box. The clear,check,finish,start.time master are listed. To help people from being confused I will mark the bag that contains these parts in addition to being on the inventory list. The poles/stakes bags are also being marked with the quanity as people somehow figure out how to remove my tags that are firmly,firmly attaches to the outside.Keep coming with ideas on how to fool everyone into thinking the kits are foolproof.That goal may not be obtainable but I enjoy the challenge.

Reply by edscott on Thu Apr 7, 2016 at 2:18 pmAlthough not the same report, remember there is another report to file concerning the number of maps used, attendance, and a financial accounting. We need this data for future schedule planning, and end of the year reports to OUSA.
