    Thank you all for your patience and understanding - results for Quail Hill have now been posted.  Because of the issues with epunch we will most likely not be posting a splits file.  Doug does plan to set up RouteGadget, however.

    Once again, my apologies for my error.  And a huge thank you to Doug, for spending the time to sort out the results.

    special thanks to everyone who worked at Quail Hill.  This was quite a challenge because of sheer volume of participants which kept us from solving the problem til late in the day.  Doug Sevon did a wonderful job dealing with the scoring issues.  Lots of lessons learned.  When you have a day like that, the best you can do is recover and then figure out how to NOT have another!

    As I learned after the fact, the start box records the epunch number and an error code but not a time unless the epunch stick is cleared.  So for all courses except White (which predominately used the pin punches), the start time was obtained from the first control on that course.  After some internal discussion, we thought this was the best approach to salvage any results.

    What took the most time was sorting through station readouts (primarily the GO controls and finish boxes) and matching combinations of times and error codes with chip numbers.  This wasn't too bad for most of the chips, but a decent number of chips were used twice and some were even used three times.

    Doug--just thinking about that makes me want to go dive on a sharpened epunch stand...

    How do you run a large event like this with epunch where participants don't have their own sticks?

    To further explain a bit ...  I as Quail Hill Event Director and registrar for the Scout units also did two things that i believe helped. I asked Doug to get a few(15 if I remember) extra e punch sticks, as i expected a crowd.  I also did one other thing, now I did not assign teams "Start times", But I did one thing to spread out the arrivals of the 3 moderately large ROTC high schools and all the 22 /23 odd Scout units.  I assigned each Scout unit or school a <Show up time> at the Quail Hill orienteering registration table (except MAST  cadets who's leaders  forgot to tell me via email they were coming with a large team), a "time" window and also made the leaders "Know" - that this was not a - free for all, that they were to stick to "arriving" as if you were going to the "Doctor",  and to please not to approach the DVOA registration table until that time within 10 min.s.  I assigned/negotiated - (in the 2 weeks prior to QH visit) about 25-30 Scouts to an "arrival" at various top, 1/4 or 1/2 hour slots.  At the very last week I was only allowing units in after 12 noon to 1 pm, to prevent volunteer official burn out.  So While we did have a few periods of utter chaos unfortunately at the e punch rental and registration area, it was somewhat organized so that only a few bottle necks would appear, mostly in the very beggining of the O meet. I am glad I did that.  In any even, I even started recruiting Scout leaders to help out, mainly Vince from T 166 helping me.  OK, it may  not be a perfect plan but consider the - free for all arrival of 300 Scouts - alternative that could have otherwise occurred IMO if all units showed up at at Quail Hill the same time.  Even I knew that senario was impossible to make work.  Anyway, I am really thankful for the O meet E punch and CS and "all volunteer" crew, and th e many DVOA members that pitched in to help unasked.

    Sounds like this event has gotten so popular with Scouts that the organizers need to treat this like an A-event: require advance registration and then assign start times. A similar approach is used at MASOC (assigned start times, that is; epunch is not used because of the sheer volume of participants). This would allow the organizers to acquire ahead of time a sufficient supply of e-punch cards and also would prevent everybody from showing up at once.

    Just a thought.

    Bob or Doug, did all of the epunch rental sticks get returned?  were any lost?

    HI Kathy,

    All the compartments in each of the boxes were full at the end of the Quail Hill event.  The next day (Fair Hill) we lost one for sure (A group lost one, I think).  But in that kit at least three or four were missing at the end of the event.

    Dan - as far as I know only 1 e-punch was lost at Fair Hill and that person was planning on sending the replacement fee to Mary Frank.

    If there are others missing, it should be relatively easy to check the event records to see what wasn't returned.

    Ron Bortz is the epunch equipment coordinator.  All lost e-cards need to be reported to Ron so he can track the inventory and buy new ones when needed.  Ron regularly checks the kits when he gets them after events, but it's easier on him if things are also reported.

    At Quail Hill NO e punches (Nov 13th, stick rentals) and No E box's nor posts/stands parts were lost as reported to me by a very Thorough Course setter and New assistant E computer operator Doug Sevon.  

    We did "lose" a few pounds of sweat and worry running the Scout and DVOA event and managing the fall crowds,  but that does not count.  Doug,  I . Rick W and Kathy were collecting the e sticks immediatley after download and we were asked at least twice to sell New E sticks - if we had them for sale, we referred those two sales questioniares to visit an orienteering eqiup salesman on-line.

    Perhaps they were taken out somewhere along the way, but each kit used to have a bag of new sticks for sale. $36
